Florida Payroll Tax Guide for Small Business Owners: What You Need to Know

Professional analyzing tax paperwork documents - Florida payroll tax guide

Running payroll in Florida means navigating a mix of federal tax obligations and state-specific rules. Whether you’re just starting out or have been in business for years, staying current on payroll taxes helps you avoid penalties and keep your team paid accurately. Here’s what Florida small business owners need to know.

Federal Payroll Taxes: The Basics

Every employer must withhold federal income tax from employee wages based on W-4 elections. You’re also required to withhold and match FICA taxes — 6.2% for Social Security (up to the annual wage base) and 1.45% for Medicare, from both the employee and employer. Employers also pay Federal Unemployment Tax (FUTA) at 6% on the first $7,000 of each employee’s wages, though you may qualify for a credit of up to 5.4% if you pay state unemployment taxes on time.

Florida State Payroll Taxes

Florida has no state income tax, which simplifies payroll somewhat — but you’re still responsible for Florida Reemployment Tax (the state version of unemployment insurance). The reemployment tax rate for new employers is typically 2.7% on the first $7,000 of each employee’s wages. Established employers receive experience-rated rates that can be higher or lower depending on their claims history. Payments are made quarterly to the Florida Department of Revenue.

Payroll Tax Deposit Schedules

The IRS assigns federal payroll tax deposit schedules — monthly or semi-weekly — based on your total tax liability in a lookback period. If you deposit late or in the wrong amount, penalties start at 2% and can reach 15% of the unpaid amount. Florida Reemployment Tax is due quarterly, with returns filed and payments made by the last day of the month following each quarter end.

Common Florida Payroll Tax Mistakes to Avoid

The most common errors Florida employers make include misclassifying employees as independent contractors, failing to update tax tables annually, missing deposit deadlines, and not reconciling quarterly 941s with annual W-2 totals. Each of these mistakes can trigger IRS or state audits, interest charges, or trust fund penalties.
